WhatsApp Sender Checklist for Small Business Communication

A practical checklist for small teams preparing customer messages through WhatsApp Web. It covers recipient permission, contact-list preparation, message personalization, sending controls, testing, opt-out handling, and record review.

Confirm Recipient Permission

Before sending a message, confirm that the recipient has provided their number for the relevant communication purpose. Existing customer contact details should not automatically be treated as permission for unrelated promotional messages.

Clean the Contact List

Review phone numbers before importing a contact list. Remove duplicate, incomplete, outdated, or incorrectly formatted entries. Organizing country codes in advance can reduce failed message attempts and make the final list easier to review.

Separate Contacts by Purpose

Divide contacts according to the reason for communication, such as appointment reminders, order updates, event information, or customer follow-up. Avoid sending the same message to recipients with different expectations.

Personalize the Message

Use available customer information only when it improves clarity. A name, order reference, appointment time, or relevant service detail can make a message more useful than a generic message sent to every contact.

Test the Message First

Send a test message to an internal or approved number before starting a larger task. Check personalized fields, links, line breaks, attachments, and the overall appearance of the message in WhatsApp.
